Administrative Specialist – Roanoke, VA

     Assists with all office duties at regional area ready mix operation.

  • Customer service and reception duties in person and on phone.
  • Daily billing processes of all products sold ready mix and block.
  • Run daily edit reports to ensure accuracy for customer billing.
  • General HR information and direction for area employees.
  • Researches and resolves discrepancies, questions or issues with vendors.
  • Matches invoices with purchase orders or receiving slips on a daily basis.
  • Assigns the proper general ledger and vendor code to each invoice.
  • Ensures purchase or expenditure has proper approval for payment.
  • Accept, sort and filter paperwork to corporate office.
  • Reconcile daily cash sales and make timely deposits.
  • Serves as back-up for all administrative functions.
  • Generates various reports as requested/required.
  • Other duties as requested by supervisor or other member of management.
  • Complete purchase orders to maintain office materials and supplies.
  • Work with sales team to maintain current and new customer records.
  • Input job quotes with pricing and mix id information.
  • Post payments to customer accounts timely and accurate
  • Assist dispatch with call, taking orders, ticketing trucks, order adjustments and pricing.
  • Accept payment calls from customers to run credit card transactions.
  • Research and resolve customer inquires in relation to delivery and invoice discrepancies .

Qualifications:

  • High school diploma or equivalent required. Prefer some additional training or education in business or accounting.
  • Prefer at least two years of work experience in an office environment.
  • Satisfactory criminal history.
  • Must be able to read, write, speak and understand English.
  • Demonstrated proficiency with basic mathematics to include addition, subtraction, multiplication and division.
  • Demonstrated ability to work with minimal supervision.
  • Demonstrated proficiency with data entry and working with a personal computer.
  • Demonstrated effective communication skills both oral and written.
  • Demonstrated attention to detail.
  • Valid driver’s license.
  • Experience with Oracale NetSuite Software or Command Alkon Software would be a plus.
